Every call answered. Including the ones your team never hears.
A phone receptionist designed and built for your practice. It answers when your team cannot, books real appointments, and answers the questions your front desk hears fifty times a week. And you own it outright.
No obligation, no hard sell.
Good evening, thank you for calling. How can I help?
Hi, are you taking new patients?
We are. I can book you in for tomorrow at 2:45. Shall I?
Interface examples are illustrative. The demonstration recordings use a fictional practice and fictional callers.
When does your phone actually ring?
At lunchtime, when the front desk is at lunch too. At 6:20pm, after the last patient has left. On Monday morning, when three calls arrive at once and two go to voicemail.
New patients rarely leave voicemails. They ring the next practice on the list.
One implant case is worth around £3,000. If an unanswered phone costs you one of those a month, that is £36,000 a year.
These figures are illustrative. On the intro call we talk about your numbers, not ours.
What your AI Receptionist does
Answers every call. Day, night, weekends. No queue, no voicemail.
Books, moves and cancels appointments in your diary, where your practice software allows a connection.
Answers the routine questions: prices, opening hours, parking, what to bring.
Takes clear, structured messages and sends them to the right person.
Recognises an emergency and puts the caller through to a person, or gives your practice's emergency instructions. It never gives clinical advice.
Speaks the way you tell it to. Your greeting, your tone, your rules.
Hear it for yourself
Three short calls, recorded with our demonstration agent.
The 8:40pm new patient enquiry
A new patient rings long after closing. The call ends with an appointment in the diary.
The cancellation that became a reschedule
A patient rings to cancel. The agent offers new times instead of an empty chair.
The emergency, handled properly
A caller is in pain out of hours. The agent does not play doctor. It follows the practice's emergency instructions, exactly as written.
These recordings are demonstrations. The practice and the callers are fictional.
There are hundreds of AI phone products. Here is why ours is not one of them.
Designed around your practice, not a template.
We start by learning how your front desk actually works: what callers ask, what your team says, what must never be said. Then we write a call plan. What the agent says, what it never says, what it can do, and when it hands over to a person. You approve that plan before we build anything.
You own it.
You pay once for the design and build. The accounts are in your name. The only ongoing costs are the platform's call charges, paid directly and at cost. We take no margin on your calls, and there is no lock-in. Most providers charge a monthly fee forever. We do not.
Built for healthcare.
It never gives clinical advice. Emergency handling is designed in from the first draft of the call plan, not bolted on. Call recordings and caller details are handled with UK GDPR in mind, in accounts you control.
Built by an operator.
PracticeYield was founded by someone who spent years as Marketing Director inside a multi-site private healthcare group. We have bought tools like this, lived with the results, and know exactly where the off-the-shelf versions fall down.
How we build it
Discovery.
We map how calls actually work in your practice: what callers ask, what your team says, what your systems allow. Included in the build price.
Call plan.
A written plan you approve: what the agent says, what it never says, what it can do, when a person takes over.
Build.
We build the agent and connect it to your systems where they allow it.
Testing.
We test it against real scenarios with your team before it takes a single live call.
Handover.
Training for your team, full documentation, every account in your name.
Care Plan, if you want it.
We monitor it, tune it and handle changes for a monthly fee. Or run it yourself. Either way, no lock-in.
What we promise, and what we designed on purpose
We promise:
- It is built to the call plan you approved, and tested before it goes live.
- You own everything: the agent, the accounts, the documentation.
- You see the exact running costs for your setup before you commit to anything.
- It will never give clinical advice. That is a design rule, not a setting.
We designed it this way on purpose:
It backs up your team. It does not replace them. Your receptionists keep doing what only people can do. The agent takes the calls they cannot get to. A good front desk is a strength, and we built around it, not against it.
Some calls always reach a person. Emergencies and sensitive calls route to your team by design. An agent that tried to handle everything would be a liability in a healthcare setting. Yours knows its limits, because we wrote them.
You know what your software allows before you pay. During scoping we confirm exactly what your practice system supports. If live diary booking is not possible, the agent takes structured booking requests instead, and you will know that before you spend a pound.
Running costs are visible, and we add nothing to them. The platform bills call time at cost, typically a small amount per minute. You see the exact rates first. Most providers hide these costs inside a monthly fee. We refuse to.
We build it, connect it to what you already run, and hand you the accounts and the documentation. Third-party running costs are yours, paid at cost, direct to the provider. If something upstream changes and the system needs work, that is a job we quote for, not something bundled into a monthly fee you cannot leave. You can pay us to look after it. You will never have to.
Design and build from £4,500, fixed once scoped. Care Plan from £295 a month, entirely optional.
The exact number depends on your sites, your systems and how much the agent needs to do. You get one fixed price before anything starts, and it does not move.
If your practice has completed a PracticeYield Growth Audit, half the audit fee is credited against this build.
The phone is one leak of several: the Review and Reputation Engine works on what patients say afterwards, AI Visibility on whether they find you at all, the New Patient Engine on the enquiries you pay for, and the Practice Performance Dashboard on what all of it earned. If you are not sure which to fix first, the Growth Audit works that out before you spend anything.
Frequently asked questions
Will it replace my reception team?
No. It answers the calls your team cannot take: after hours, at lunch, when the lines are busy. Your team keeps doing what only people can do.
What happens if a caller has an emergency?
The agent recognises it, stops, and either puts the caller through to a person or gives your practice's own emergency instructions, word for word. It never gives clinical advice.
Can it book into my practice software?
Where your software allows a connection, yes. We confirm what is possible with your exact system during discovery, and we tell you before you commit. Where no connection exists, it takes structured booking requests for your team to confirm.
Who owns it?
You do. The agent, the accounts, the phone number and the documentation are all in your name. If you ever stop working with us, everything keeps working.
What does the fixed price include?
Everything: discovery, the call plan, the build, testing, training and documentation. The intro call before any of that is free. The only cost outside the fixed price is the platform's call charges, billed to you at cost.
What does it cost to run?
The platform charges for call time, billed to you directly and at cost. We take no margin on it. You see the exact rates for your setup before you decide anything.
How long does it take?
Usually four to six weeks from discovery to live, depending on how quickly your team can review the call plan and test with us.
Is patient information safe?
Recordings and caller details sit in accounts you own and control. During the build we set out what your privacy notice needs to cover and what UK GDPR requires you to confirm. We flag this clearly; your own advisers confirm the specifics.
